We are seeking an experienced Office Administrator to support daily operations, coordinate key workflows, and ensure a smooth and efficient office environment within a banking setting.
Mandatory Skill(s)
• Diploma / Degree with at least 4 years of office administration experience;
• Must have strong proficiency in Microsoft Office, especially Excel (VLOOKUP, IF formulas, PivotTables), PowerPoint, Word, and Outlook;
• Strong interpersonal, written, and verbal communication skills;
• Excellent organizational and time management abilities; able to multitask and prioritise effectively;
• Mature, adaptable, and able to work independently or in a team, with stakeholders at all levels;
Desirable Skill(s)
- Solid knowledge of office management procedures; meticulous, organised, self-motivated, and proactive.
Responsibilities
- Handle business travel arrangements, including flights, hotel bookings, temporary accommodations, and visa/work permit applications;
- Manage security access (door controls, card profiles, after-hours support) and oversee facilities services and maintenance activities;
- Oversee overall office operations, ensuring a clean, comfortable workspace, and manage office equipment, supplies, and pantry inventory;
- Manage incoming and outgoing mail, packages, deliveries, document distribution, and visitor reception;
- Coordinate with vendors, contractors, and service providers to ensure smooth office operations, and organize office activities such as meetings, events, and town halls;
- Collaborate with cross-functional teams for seamless workflow, ensure compliance with policies and regulations;
- Prepare simple reports, track office-related data, and update spreadsheets using Excel;
- Perform other duties as assigned.
